Who we are

Synced is the data controller for this website

For website enquiries, booking requests, and chat interactions on syncedco.com, Synced decides how and why personal information is processed. If you need postal details for a formal request, email us and we will provide the right contact route.

Contact: hello@syncedco.com. This website is intended for business enquiries about practical AI workflow automation, discovery, implementation, and support.

What we collect

The information depends on how you use the site

We only ask for information that helps us respond, arrange a call, run the assistant, or protect the website.

Enquiries and contact forms

Your name, email address, company name if provided, workflow type, and the message you send.

Discovery call bookings

Your name, email address, selected call time, timezone, call duration, and any optional notes you add.

Chat assistant messages

The messages you send to the site assistant, plus enough conversation context to generate a useful response.

Technical and security data

IP address, request timing, browser-level information, rate-limit checks, and functional storage used to keep the site working safely.

How we use it

We use personal information to respond, book, support, and protect

Our usual lawful bases are pre-contract steps, legitimate interests, consent where you choose to submit optional information, and legal obligation where the law requires us to keep or disclose information.

Purposes

  • Respond to enquiries and arrange discovery calls.
  • Create calendar invitations and Google Meet links when you book a call.
  • Run the website chat assistant and provide relevant answers about Synced.
  • Protect the website from spam, misuse, and excessive automated requests.
  • Improve the clarity, reliability, and usefulness of the website and services.
  • Keep records needed for administration, relationship management, and legal obligations.

Lawful bases

Pre-contract steps: when you contact us or book a discovery call so we can discuss potential work.

Legitimate interests: to run the website, respond to business enquiries, prevent spam, secure the service, and understand how to improve our offer.

Consent: where you choose to provide optional notes or use features such as the chat assistant.

Legal obligation: where records must be kept or disclosed to meet legal, tax, regulatory, or law-enforcement requirements.

Sharing

We only share information where it is needed

Synced does not sell personal information. We use trusted providers to operate the website, manage bookings, send messages, and provide the AI assistant.

Google Workspace, Google Calendar, and Google Meet for email, booking, and meeting administration.

OpenAI and related AI infrastructure used to power the chat assistant.

Hosting, security, email delivery, and technical providers needed to operate the website.

Professional advisers or public authorities where required by law or needed to protect legal rights.

Some providers may process information outside the UK. Where this happens, we expect appropriate safeguards to be used, such as adequacy regulations, standard contractual clauses, or equivalent transfer protections.

Retention

We keep information only for as long as it is useful or required

Retention depends on the context. We avoid keeping information indefinitely just because it was submitted through the website.

Enquiries

Normally kept for up to 24 months after the last contact unless there is an ongoing client relationship or a legal reason to keep it longer.

Bookings

Calendar records and meeting details are kept in line with our Google Workspace account settings and business record needs.

Security data

Rate-limit and technical data is kept for short operational periods unless needed to investigate misuse, errors, or security issues.

Cookies and storage

The site uses necessary storage and optional analytics consent

We do not use advertising cookies. Analytics cookies are optional and should only run where you have accepted them.

Local storage

The chat assistant may use browser local storage to remember that you have seen the chat prompt, so it does not keep reappearing. Cookie preferences are also stored locally in your browser.

Functional cookies

The booking setup can use a functional Google token cookie during local OAuth configuration. Production booking may also rely on secure server-side configuration to connect to Google Calendar.

Analytics cookies

Analytics cookies help us understand how the website is used. You can accept or reject them, and change your choice from Cookie settings in the footer.

Your rights

You can ask us about your personal information

UK data protection law gives you rights over your personal information. These rights are not absolute, but we will respond to valid requests in line with the law.

  • access the personal information we hold about you
  • ask us to correct inaccurate or incomplete information
  • ask us to delete information where there is no good reason for us to keep it
  • ask us to restrict or object to certain processing
  • ask for a portable copy of information you gave us where that right applies
  • withdraw consent where we rely on consent
  • complain to the Information Commissioner’s Office if you are unhappy with how your data is handled

How to make a request

Email hello@syncedco.com and tell us what you need. You can also complain to the Information Commissioner’s Office.

Updates

This policy may change as the site changes

If Synced adds analytics, new integrations, new forms, or materially different services, this page will be updated. The latest version will always be available here.
